EUDR Software

An EUDR software brief should begin with the relevant product, market role and applicable date, then test the evidence supporting the required information or statement (consolidated regulation; amended roles and dates).

What must be decided before a software demo?

Product scope, operator role and application provisions determine the task; a generic deforestation dashboard does not resolve them Articles 1–5 and 38.

Our fictional pilot follows Juniper Coffee Trading, a GB-based business selling coffee to an EU importer while separately considering an EU importing operation of its own.

The buyer needs different workflows for supplying evidence to a customer and preparing an operator statement, so it asks its legal reviewer to approve the role analysis first.

The 2025 amendment changed downstream roles and the statement architecture, making an older checklist an unsafe starting point role amendments.

The EUDR guide owns the legal explanation, while the standards homepage places that task beside other reporting and due-diligence outputs.

The software pilot must show the chosen role and unresolved questions rather than assume that every supplier uploads the same statement.

Which routes should Juniper keep separate?

Compare customer evidence supply, own-import activity, downstream handling and unresolved routes separately.

The same coffee lot can support different tasks depending on the actual market role.

The fictional pilot uses the same coffee lot in two explicitly different commercial scenarios.

The reviewer checks that the platform does not duplicate the legal task merely because the underlying commodity is identical.

How should product scope and amendments be controlled?

Annex I and the 2026 product amendment need an effective-date review rather than a permanent seven-commodity tick box Annex I product-list amendment.

Keep the product classification.

Read the detailed guidance and evidence

The regulation names relevant commodities, but product scope depends on the listed relevant products rather than every item containing an associated material scope and Annex I.

The 2026 amendment changes the product list and includes staged treatment of certain additions, so a supplier should not apply every new entry to every historic transaction amended Annex I and application.

Juniper’s demonstration asks the supplier to retain an old product mapping, add a future mapping and show which transactions would be affected.

The Commission overview is a useful route to current owner information, while the actual instrument determines the legal wording Commission overview made amendment.

The buyer retains a named human reviewer for classification rather than accepting a software suggestion as a final customs or legal decision.

What should a product-mapping export contain?

Keep product identity, legal reference, effective date and human approval together.

A product-list update should show which transactions change rather than apply every new mapping retrospectively.

Read the detailed guidance and evidence

This acceptance test uses hypothetical mapping changes without declaring a real coffee product’s classification.

The important result is a reproducible source and date trail, not an automatically generated in-scope badge.

What should origin traceability demonstrate?

The information requirements connect relevant products with production-origin evidence, including geolocation where required Article 9.

Lot

Identify the traded quantity.

Read the detailed guidance and evidence

Juniper’s original fictional case combines two deliveries for one customer order, then discovers that one supplier record references an outdated origin file.

The supplier must show which part of the order relies on each origin record and leave the unsupported portion visible rather than copying the valid file across the whole order.

The buyer asks how duplicate identifiers, revised source files and supplier corrections are handled without erasing the original evidence.

A map view is accepted only when the reviewer can follow its source information and relationship to the actual product lot.

This is a traceability test, not a claim that a plotted location proves the regulation’s legality or deforestation-free conditions have been met.

Which traceability tests should be observed?

Trace a split order through separate source records, an outdated file and a missing relationship.

The reviewer should be able to explain which quantity relies on which origin evidence.

Juniper asks an ordinary purchasing analyst to reconstruct the order from the export.

The demonstration fails if the reviewer can see a map but cannot identify which evidence supports the customer’s goods.

What does low-risk sourcing change?

The country classification and simplified due-diligence provisions are not a blanket exemption from information requirements benchmarking regulation Article 13.

Country

Identify the relevant production origin.

The UK is listed as low risk under the country benchmarking instrument, while the Commission’s list provides the current classification reference country list Commission classification page.

Low-risk treatment does not mean that a product can be accepted without the information and statement or declaration required for the applicable role simplified due diligence.

Juniper’s pilot deliberately gives the selling supplier a GB address while the commodity origin is elsewhere, asking the system to avoid assigning production risk from the invoice address.

The buyer asks which country field drives the configured review and how a changed classification is handled for existing open work.

The test separates data configuration from the substantive decision about the actual due-diligence route.

What should the country-risk test distinguish?

Separate seller address, production origin, country classification and the approved treatment.

A low-risk label should not remove the information needed for the actual role and goods.

The fictional reviewer keeps the address mismatch as an explicit exception until the origin is supported.

This tests a practical source-control weakness rather than inventing a country-risk score.

The consolidated regulation provides for due-diligence statements through the Information System, while the implementing amendment addresses the system’s revised role structure Articles 4 and 33 system rules.

Juniper asks whether the software creates a reviewed handover, supports a user submission or provides another evidenced connection, without assuming any vendor has a working integration.

The supplier must identify whose credentials are used, who authorises the action and how a failed or incomplete handover is made visible.

The demonstration should retain the relevant reference and evidence version without presenting a software-generated certificate as an official compliance decision.

A service connection is therefore tested as a technical capability, separately from the legal and methodological review of the underlying goods.

Which submission questions should the buyer ask?

Observe the actual system action, user authority, response and linked evidence version.

A preparation file or generated certificate should not be relabelled proof of an official submission.

Juniper’s pilot includes an intentionally incomplete record that must remain blocked or visibly unresolved.

The buyer does not accept a generated PDF labelled compliant as a substitute for the actual system and role evidence.

How do GB and Northern Ireland affect configuration?

The UK guidance distinguishes Northern Ireland’s EUDR route from the separate GB policy development, so a UK address cannot determine a single universal workflow Northern Ireland guidance GB approach.

Territory

Identify where goods are placed.

Read the detailed guidance and evidence

EUDR applies in Northern Ireland through its applicable phased route, while Great Britain’s own deforestation framework is a separate policy and implementation question NI route GB policy.

Juniper’s fictional expansion scenario therefore records the destination and transaction role instead of using the company’s registered GB office as the sole configuration rule.

The amended application dates include conditions and exceptions for particular operators and products, making an unqualified all-small-businesses-start-later setting unsafe application provisions Article 38.

The buyer asks its reviewer to approve the rule basis before the software supplier configures the workflow.

This guide does not turn a GB policy threshold into a current operative UK-wide requirement.

What should a territory test contain?

Compare destination, role, timing and source status before reusing a configured rule.

GB policy development and the applicable NI route should remain distinct in a UK buyer’s configuration.

The pilot compares a customer evidence handover with a proposed own-import scenario and a separate NI movement.

The buyer checks that changing the destination triggers a review rather than silently reusing one legal conclusion.

Juniper’s contract asks for migration, role configuration, traceability exports and an observed incomplete-record test, with legal interpretation and supplier investigation separately scoped.

The exit test requires another reviewer to identify the goods, origin evidence, applicable basis and handover status without the live dashboard.

The software RFP structures the acceptance schedule, while supply-chain risk software addresses wider investigation and response tasks.

The buyer does not assume software mandates, official certification, provider prices or guaranteed access to a market.

The useful purchase outcome is a team able to explain which evidence supports which goods and who still needs to make the relevant decision.

How can the team put this into practice?

This nine-step editorial workflow is a suggested sequence for the fictional case, rather than an additional regulatory timetable.

  1. 101

    Resolve scope

Identify product, transaction role and market before configuring the platform.
  2. 202

    Confirm the date

Read the applicable product and operator provisions rather than a generic countdown.
  3. 303

    Prepare the pilot

Use two deliveries, an outdated origin file and an unresolved relationship.
  4. 404

    Map evidence

Connect quantities, supplier records and required origin information.
  5. 505

    Test country logic

Distinguish seller address from production origin and owner classification.
  6. 606

    Review the handover

Approve the evidence before any statement or customer transfer.
  7. 707

    Observe the system action

Identify preparation, submission and the actual response separately.
  8. 808

    Reconstruct the export

Have another reviewer trace the goods and evidence outside the platform.
  9. 909

    Accept responsibilities

Leave source updates, technical support and substantive judgement clearly allocated.

Frequently asked

Questions people ask

Is every UK supplier an EUDR operator?

The relevant role follows the actual market activity, so supplying an EU importer and importing into the EU are different scenarios.

Does low-risk mean no information is needed?

No, simplified due diligence does not erase the applicable information and statement architecture.

Can we use the supplier address as the origin?

The fictional pilot requires the production-origin evidence to remain distinct from the commercial seller’s address.

Does a software certificate prove compliance?

The actual regulatory conditions and Information System process remain separate from a private document.

Should GB and NI share one default rule?

Use the actual movement and applicable route, keeping GB policy separate from NI’s EUDR position.

What is the strongest demonstration?

Trace a split order through two origin records, correct a stale file and show the effect on the reviewed handover.
